1. Who We Are

Institutional Charts is a trade name of Elbaze Holding B.V. (KVK: 92437637), registered in the Netherlands. In the context of this Privacy Policy, “we,” “us,” and “our” refer to Elbaze Holding B.V.

2. What Data We Collect and Why

We collect the minimum data necessary to deliver our service. When you make a purchase, we collect your name, email address, country, and where applicable your user ID (UID). This data is used solely to process your order, generate and deliver your license key, and provide customer support.

We do not collect usage data, session data, or behavioral data once you are using the platform. We do not use cookies for tracking or analytics purposes.

3. How We Collect It

Data is collected at the point of checkout only. All information you provide during purchase is stored securely in our database hosted on Namecheap servers. Our payment processing is handled entirely by Mollie B.V. — we do not see or store your payment card details at any point.

4. Legal Basis for Processing (GDPR)

We process your personal data on the following legal bases under GDPR Article 6:

  • Contract performance — your name, email, country, and UID are necessary to fulfill your purchase and deliver your license.
  • Legal obligation — we retain transaction records to comply with applicable financial and tax regulations.
  • Legitimate interest — we may contact you with service-related updates directly relevant to your license.

5. Third Parties We Share Data With

We share your data with one third party only:

Mollie B.V. — our payment processor, based in the Netherlands. Mollie receives your name, email, and country to process your payment securely. Mollie’s privacy policy is available at https://www.mollie.com/en/privacy.

We do not share your data with any analytics providers, advertising networks, or affiliate exchanges. The exchanges listed on our website (Bybit, MEXC, Binance) receive no personal data from us.

6. Marketing Communications

If you have purchased a license, we may occasionally send you product updates and announcements by email. These emails are sent manually and are limited to information directly relevant to your Institutional Charts license. You may opt out at any time by emailing cs@institutionalcharts.com and your address will be removed promptly.

If we introduce an automated email marketing tool in the future, this policy will be updated and you will be notified before any change takes effect.

7. Data Retention

We retain your personal data for 2 years following the end of your subscription or one-time purchase. After this period your data is permanently deleted from our systems. Transaction records required for tax or legal compliance may be retained for the period required by applicable law.

8. Your Rights Under GDPR

As a data subject under EU/EEA law you have the right to:

  • Access — request a copy of the personal data we hold about you
  • Rectification — request correction of inaccurate data
  • Erasure — request deletion of your data, subject to legal retention requirements
  • Restriction — request that we limit processing of your data
  • Portability — receive your data in a structured, machine-readable format
  • Objection — object to processing based on legitimate interest

If you believe we have not handled your data correctly, you have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) at https://www.autoriteitpersoonsgegevens.nl/.

9. Data Security

Your data is stored on password-protected servers. Access to customer records is restricted to authorised personnel only. We do not store payment card information. All transactions are processed over encrypted connections via Mollie.

10. Changes to This Policy

If we make material changes to this policy we will notify existing customers by email before the changes take effect. The current version of this policy is always available at https://institutionalcharts.com/privacy.
